1. About this policy

Fax Research works with robotics and Physical AI companies and with approved operating partners to develop real-world datasets and related labelling or annotation outputs. We aim to manage personal information openly and to keep project scope, permitted uses and access boundaries clear.

This policy applies to information collected through faxresearch.com and to personal information handled by Fax Research in connection with our projects, to the extent applicable.

2. Information we may collect

Website enquiries

When you contact us or submit a form, we may collect your name, work email address, company, country, information about your project or operating environment, and any other information you choose to provide.

Please do not submit passwords, identity documents, medical information, confidential business records, employee files, customer records or other sensitive information through our public website forms.

Project and partner information

For an approved project, we may handle information necessary to define and deliver the agreed dataset, such as task descriptions, site information, project contacts, operational constraints and approved visual or related data. Where people may be identifiable, the required notices, permissions, consents, exclusions and controls should be addressed before work begins.

Technical information

Our hosting, content-delivery and security providers may automatically generate ordinary technical records such as IP addresses, request logs, browser or device information and security events. We do not intentionally use advertising trackers on this version of our website.

3. How we use information

We may use information to:

• respond to enquiries and arrange meetings;
• assess potential robotics projects or Data Partner opportunities;
• define, manage and deliver agreed projects;
• apply agreed labelling, quality and delivery requirements;
• protect our systems, investigate incidents and prevent misuse;
• maintain business and project records where reasonably necessary; and
• comply with legal, regulatory, insurance or contractual obligations.

We do not use information submitted through our enquiry forms for unrelated sale of personal contact lists.

4. Project scope, confidentiality and minimisation

Before approved recording or task capture begins, Fax Research and the relevant partner should define what may be captured, where work may occur, the intended purpose, restricted areas, confidential processes, identifying details, permitted recipients and appropriate retention or deletion arrangements.

Our standard approach is to minimise unnecessary personal or confidential information at the point of capture where practical. Unplanned material is not treated as automatically authorised merely because it was recorded.

Fax Research does not seek unrelated confidential company records, private employee files, customer databases, passwords, internal communications or other material outside the agreed project scope.

5. Sharing and service providers

We may provide information to personnel, contractors and service providers who need it for authorised work, subject to the controls appropriate to the project. This can include hosting, storage, communication, annotation, security or delivery providers.

Project data may be provided to a robotics or Physical AI customer only where that recipient and use are permitted by the relevant project agreement, consent arrangements and applicable law.

We may also disclose information where required or authorised by law, or where reasonably necessary to investigate a serious security or safety issue.

6. Overseas access and processing

Some technology providers or project participants may operate outside Australia. Where cross-border access or disclosure is relevant to a project, the intended locations, recipients and restrictions should be addressed in the project agreement. Public website enquiry services may also use infrastructure located outside Australia.

7. Security

We use reasonable technical and organisational safeguards appropriate to the information and the project, including access limitation, account protection, approved transfer methods and project-specific controls where required.

No organisation can honestly guarantee that information will never be lost, misused or accessed without authority. If a suspected incident occurs, our approach is to contain the issue, preserve relevant evidence, assess the impact, escalate internally, inform the relevant partner in accordance with the applicable agreement and take any legally required notification or remediation steps.

8. Retention, deletion and de-identification

We aim to retain personal information and project material only for as long as reasonably required for the agreed purpose, contractual requirements, legitimate record-keeping needs or applicable law. Project agreements may set specific retention periods, return requirements, deletion triggers or de-identification requirements.

9. Access, correction and privacy enquiries

You may contact us if you want to ask what personal information we hold about you, request a correction, raise a privacy concern or make a complaint. We may need to verify your identity before acting on a request.
